The available workdays

The denominator is the total scheduled workdays across the team: the average headcount multiplied by the available workdays per person in the period. Fifty people with 21 scheduled workdays each gives 1,050 available workdays. This is the pool the absence is measured against, and it is why headcount and the working calendar both belong in it.

The absenteeism rate

The rate is the absence days divided by the available workdays, as a percentage. 120 absence days out of 1,050 available is about 11.4 percent. It answers one narrow question, what share of scheduled working time was lost to the absences you counted, and nothing more.

Days lost per person

Alongside the rate, the tool divides the absence days by the headcount for the average days lost per person over the period. It is the same absence read a second way, and it is often the figure a manager finds easier to act on than a percentage.

What this tool does not know

What counts as an absence. Whether you include only unplanned sick days, or also planned leave, partial days or lateness, is your decision, and the rate is only as meaningful as the count you feed it. It holds no benchmark and no typical rate for any industry, because that data would have to be invented to sit on a free page.

How is the absenteeism rate calculated?

It is the total absence days divided by the total available workdays, expressed as a percentage. The available workdays are the average headcount multiplied by the scheduled workdays per person in the period. Both the rate and the average days lost per person are shown, along with every intermediate line, so you can check the arithmetic.

Which absences should I count?

That is your call, and it is the most important choice you make here. Most absenteeism measures count unplanned absence, typically unscheduled sick days, and exclude booked annual leave, but definitions vary by organisation and by purpose. Decide what counts, keep it consistent between periods, and the trend will mean something even where the absolute number is debatable.

What is a good absenteeism rate?

This tool will not tell you, because there is no honest single answer. What is normal depends on the sector, the season, the mix of roles and how you defined an absence in the first place. It gives you your own rate on your own definition; comparing it against your own past periods is far more useful than any benchmark a web page could invent.

How do I get the available workdays?

Use the scheduled workdays for one person in the period, then the tool multiplies by headcount. For a month that is often around 21 or 22; for a quarter, three times that. If different people have very different schedules, an average is a reasonable input, and you can run part-time groups separately if you want a cleaner figure.
