IT asset management software

Capstan's Asset Management module is an operational register of what you own and who holds it, from issue at onboarding to return at exit. Issue and return each capture a condition note, an optional photo and an acknowledgment from the holder, and an assignment is end-dated rather than deleted, so the history survives. It is one of the fourteen modules, included on every plan and free for up to twenty people.

Know what you own and who has it

Every laptop, monitor and access card is issued against a person, with its condition and cost, so the register is current because issuing and returning keep it current.

A register that stays current on its own

The usual asset spreadsheet is out of date the week after it is written, because keeping it current is a separate task nobody owns. Here the register is kept current as a by-product of onboarding and exits: issuing a laptop to a joiner and taking it back from a leaver are the same actions that update the record.

  • Issue and return each capture a condition note, an optional photo and the holder's acknowledgment.
  • An assignment is end-dated, not deleted, so the ownership trail is never lost.
  • The holder is notified the moment an asset is issued, not only by a later reminder.

What it deliberately does not do

It is a register tied to joining and leaving, not an accounting or procurement system, and it publishes its edges rather than letting you discover them.

  • Not an accounting system: cost and purchase date are reference fields, never depreciated or amortised.
  • No preventive-maintenance scheduling, no warranty or vendor-contract tracking, no barcodes or QR codes.
  • No procurement or purchase orders, and no software licence-seat management.

It builds on the core and the exit process

Assets are issued against people from the core directory, the holder acknowledgment uses the same core mechanic as policies and letters, photos live in the core document store, and reminders ride the core notification ladder. The join that matters most is with the exit process: an asset still out at exit is flagged for a human, as a flag rather than a block.

  • Shares the core directory, acknowledgments, document store and notifications.
  • An asset can be issued against a contractor engagement while Contractor Management is enabled.
  • The full module detail, with its published limits, is on the Asset Management module page.

Asset management software questions

What is asset management software for HR?

It is an operational register of the equipment a company issues to its people, laptops, monitors, phones, access cards, and who holds each one. Capstan tracks an asset from issue at onboarding to return at exit, captures a condition note, an optional photo and an acknowledgment from the holder on each leg, and end-dates an assignment rather than deleting it, so the history of who held what survives.

Is asset management included for free?

Yes. Asset Management is one of the fourteen Capstan modules and every module is included on every plan, the free one included, at no extra charge. A workspace of up to twenty active employees runs the full register on the free plan. The only setup cost is entering your existing inventory once, because there is no asset importer; after that, issue and return keep it current.

Does it tie into onboarding and exits?

That is the join that earns the module its place. An asset is issued against a person from the directory, and the holder is notified the moment it is issued. When someone exits with an asset still out, the open assignment is flagged into the settlement surface for a human to resolve. It is deliberately a flag, not a block on the exit, so a missing laptop is surfaced rather than allowed to hold up someone leaving.

Is it an IT asset management or accounting platform?

No, and it says so. Purchase date and cost are optional reference fields that are recorded and never computed upon, so there is no depreciation, book value or amortisation. It schedules no preventive maintenance, tracks no warranties, generates and scans no barcodes or QR codes, runs no procurement, and manages no software licence seats. It is a register of what you own and who holds it, tied to joining and leaving.
